Automatically Forward Emails from Gmail to DOKKA
You can set up Gmail to automatically forward specific incoming emails to your company’s unique DOKKA address.
This allows documents received by email (like invoices or receipts) to be sent directly into DOKKA without manual uploads.
Step 1 – Add the DOKKA Address for Forwarding
In order to set up automatic forwarding from Gmail to DOKKA, you first need to add your company’s DOKKA address as a forwarding destination.
Open Gmail.
Click the Settings icon (⚙️) → See all settings.
Go to the Forwarding and POP/IMAP tab.
Under Forwarding, click Add a forwarding address.
Enter your company’s DOKKA email address (for example,
company@dokka.me
Gmail will now send a verification email to that address.
Since DOKKA’s address is not a traditional mailbox, the verification message will appear as a new document inside your DOKKA workspace.
Continue to the next step to verify the forwarding setup.
Step 2 – Verify the Forwarding Rule Inside DOKKA
The Gmail verification email arrives in DOKKA as a standard uploaded document.
You’ll need to access it from within DOKKA to approve the forwarding rule.
Open DOKKA and go to your Inbox folder.
Locate the document that corresponds to the Gmail verification email.
Open the document.
On the right-hand side, click the blue “Email” tag to view the original email content.
This tag allows you to open the actual email and access its hyperlinks.
Inside the tag, either:
Click the verification link directly, or
If the link is not clickable, copy the full URL and paste it into your browser’s address bar.
After you complete this step, Gmail will confirm the forwarding address and begin allowing automatic email forwarding to DOKKA.
Step 3 – Create a Filter to Forward Automatically
Now that your DOKKA address is verified, you can set rules to forward only the relevant emails.
In Gmail, click the search options icon (?) in the search bar.
Define your filter criteria:
Example: To forward only invoices from a specific supplier, enter the supplier’s email in the From field.
You can also filter by subject, keywords, or attachments.
Click Create filter at the bottom of the search window.
Check the box Forward it to → choose your DOKKA address.
Optionally, select other actions (for example, “Mark as read” or “Skip the inbox”).
Click Create filter to save.
Gmail will now automatically forward any new emails matching your criteria to DOKKA.
Step 4 – Managing or Removing the Rule
To edit or delete your filter:
Go to Settings (⚙️) → See all settings → Filters and Blocked Addresses.
Find the filter you created.
Click Edit to update it or Delete to remove it.
Click Update filter to save any changes.
Tip
If you want all incoming emails to go to DOKKA (not just filtered ones), you can set up a global forward under:
Settings → Forwarding and POP/IMAP → Forward a copy of incoming mail to → [your DOKKA address].
