This article prescribes the different users that can be added to your organization in Dokka. I'd like you to please read more about adding and managing users in this article.

** 'Users' are end-users who have no access to financial users. In most cases, this privilege will be given to end-customers of a bookkeeping/accounting office, or to a company's employees who don't need to publish invoices.

There are 3 main types of roles in Dokka:


  1. Bookkeeper: This is the role with financial responsibilities. They can perform all of the necessary operations to upload documents to DOKKA, approve them, and move them into the accounting software. A Bookkeeper can also delete documents and perform all the document management operations.


* A bookkeeper user may also have administrator privileges, which has the same privileges as a Bookkeeper user, but can also create and manage users and companies, change companies' settings, and delete published documents. If you wish to give one of your users administrator privileges, assign them as a Bookkeeper and contact Dokka's support to change his privileges accordingly. Note that only requests from current administrator users will be processed. This type of administrator can view the document's accounting side and enter the data into specific fields: right account (supplier), movement type, and value date.


1.a.Limited Bookkeeper (Disable publish transaction): A Limited Bookkeeper has the same privileges as a Bookkeeper role, but without the option to publish the document to the ERP system. *An accountant of this type has access to the accounting side of the document and can insert the data into the relevant fields.


1. B. Bookkeeper without permission to publish invoices (Limited document visibility)- this bookkeeper has the same permissions as a regular bookkeeper with the option to press the "Publish" button to the ERP system

This type of Bookeeper can view the document's accounting side and enter the data into specific fields: 

account (supplier), transaction type, and value date.


1. c. Bookkeeper with view-only financial details- this bookkeeper has the option to view all the financial details on the transaction side without editing and publishing the transaction. 



2. Regular User: Can upload documents to DOKKA and perform general changes to documents (adding notes and tags, etc. - as prescribed in the table below), and cannot change financial data or view the bookkeeping entry forms.


2.A. Restricted User: Same as a regular user, but has access only to documents that were uploaded by them or sent to their approval.



3. Confidential User: Same as a regular user, but also has access to the documents in the Confidential Workspace.

* This applies only to Priority users.
